Project: Redesigning timesheets and expenses into a simple, mobile-first experience that saves time, reduces errors, and improves company-wide visibility.
Industry: Tech/SaaS
Role: Product Designer
Responsibilities: UI Designer, UX Researcher

Timesheet & Expences

Create a streamlined mobile experience that allows employees to quickly enter timesheets and submit expenses from anywhere, reducing administrative friction and increasing accuracy. The goal was to replace a slow, desktop-first process with a modern mobile workflow that supports digital efficiency and real-time reporting.

The Opportunity

The Problem

The existing workflow for logging hours and submitting expenses was scattered across multiple tools, causing delays and frequent errors. Employees often forgot to submit on time, supervisors lacked visibility, and finance teams needed hours of manual cleanup. The process was not mobile-friendly and resulted in frustrated users, inconsistent data, and lost productivity.

The Solution

Design a mobile-first app centered on speed, clarity, and automation.
Key improvements included:
  • A simplified timesheet submission flow with guided fields and auto-fill for recurring tasks.
  • A camera-based receipt capture system using OCR to extract expense details automatically.
  • Clear progress indicators and inline validation to prevent mistakes before submission.
  • A unified dashboard showing weekly hours, expense status, approvals, and deadlines.
  • A modern visual design with intuitive navigation that makes daily tasks feel familiar and effortless.
The final app reduced the entire process to a few taps while improving accuracy, compliance, and transparency across teams.

The Research

To shape the experience, mixed research methods were used:
  • User interviews with employees, managers, and finance to understand pain points and real workflow constraints.
  • Journey mapping to visualize checkpoints where delays, confusion, or errors were occurring.
  • Competitive analysis of leading time-tracking and expense apps to identify best practices and opportunities.
  • Usability testing of wireframes and prototypes to refine navigation, form inputs, and data visibility.
Insights from research directly informed the structure of the app and ensured it aligned with real user behavior and business rules.

The redesigned mobile experience created measurable improvements across the company:

  • 40% faster timesheet and expense submissions.

  • 60% reduction in incomplete or inaccurate entries due to validation and auto-fill.

  • Increase in on-time submissions as employees could now complete tasks instantly on mobile.

  • Higher manager visibility that enabled quicker approvals and better forecasting for finance.

  • Positive user feedback with employees saying the app finally made timesheets simple.
